vAuto Integration: How It Works
Exact onboarding steps, what changes downstream on Cars.com and Autotrader, the CRM-overwrite gotcha, and what to expect in week 1 vs. week 4.
How InventoryPilot AI Actually Plugs Into vAuto
Most integration guides skip the mechanics and jump straight to benefits. This one doesn't. If you're a used car manager, internet director, or GSM evaluating InventoryPilot AI, here's exactly what happens inside vAuto from day one through week four—and what you should watch for.
The Onboarding Mechanic: One New vAuto User
The integration lives entirely inside vAuto's existing user permission system. During onboarding, you create a standard vAuto user account and grant it a single permission: edit Inventory Comments. That's it. InventoryPilot does not touch Provision pricing workflows, iRecon reconditioning tasks, Conquest market intelligence data, or appraisal records. The new user account has read access to your active vehicle list and write access to the Inventory Comments field—nothing else.
This matters for two reasons. First, your vAuto admin can audit the permission set in under 60 seconds. Second, if you ever cancel, you delete the user account and the integration is gone cleanly, with no data residue.
Setup time from your side: approximately 5 minutes to create the user and share the login credentials. InventoryPilot's onboarding team handles everything after that.
What Happens to Each Vehicle
After credentials are confirmed, InventoryPilot begins its first pass within a few hours:
- Inventory pull — The system reads your active lot via vAuto's inventory API, pulling year, make, model, trim, mileage, color, option codes, and any existing Inventory Comments content.
- Description generation — Each VIN gets a unique, AI-generated description. The generator uses the vehicle's decoded option codes alongside your dealership's city, regional context, and any custom brand voice instructions you set during onboarding.
- Write to Inventory Comments — Finished descriptions are written directly to the Inventory Comments field in vAuto. The write happens silently; there's no notification in vAuto's UI unless you're watching that specific record.
- Downstream propagation — vAuto's outbound feed carries the updated Inventory Comments to every connected destination: your dealer website, Cars.com, Autotrader, CarGurus, and any other platforms pulling from your inventory feed.
After the first pass, the system runs on a daily check for new inventory and a full weekly refresh of all active units—rewriting descriptions with updated mileage, current market context, and fresh language that sends recency signals to search indexers.
What Changes Downstream—and What Doesn't
What changes:
- Your website VDPs — Inventory Comments populate the vehicle description section on most dealer website platforms (Dealer.com, DealerInspire, Dealer eProcess, and others). Updated comments typically appear on your VDPs within the same day the feed refreshes, usually overnight.
- Cars.com and Autotrader listings — Both platforms pull the Inventory Comments field directly as the vehicle description. Character display caps vary—Cars.com renders approximately 2,000 characters in full; Autotrader shows roughly 1,500 in the primary view with a "show more" expand. InventoryPilot writes to a 1,200–1,400 character target by default so the strongest content appears above both truncation thresholds.
- CarGurus — Same feed dependency. Updated comments appear within 24–48 hours depending on their crawl cadence.
- AI search surfaces — When ChatGPT, Google AI Overview, or Perplexity index your VDPs, they read the rendered page copy—which now includes your Inventory Comments content. This is the primary AI search optimization lever InventoryPilot controls.
What doesn't change:
- Provision — Pricing strategy, Market Days Supply scores, and price-to-market indicators are completely separate from Inventory Comments. InventoryPilot never reads or writes to Provision data.
- iRecon — Reconditioning workflows, step statuses, and cost tracking are untouched.
- Conquest — Market intelligence, competitive pricing overlays, and conquest target lists are read-only to your vAuto admin and have no connection to the Inventory Comments field.
- Your DMS — InventoryPilot has no DMS integration at all. CDK, Reynolds & Reynolds, Dealertrack—none of them are in scope.
The Two Most Common Gotchas
Gotcha 1: CRM or DMS rules overwriting Inventory Comments
Some stores have automation rules—often set up years ago and since forgotten—that push data from the DMS or CRM into vAuto's Inventory Comments on a schedule. VinSolutions, Elead, and certain DMS-side inventory sync rules can all do this. If InventoryPilot writes a description at 2 AM and a DMS sync fires at 4 AM and replaces it with blank or boilerplate content, you'll see empty or stub descriptions on your VDPs by morning.
How to find it: In vAuto, open a unit's Inventory Comments history. If you see repeated overwrites at a consistent time that don't match InventoryPilot's write timestamps, you have a competing automation. The fix is usually disabling the DMS "push comments" setting—a checkbox buried in your DMS inventory export configuration. Your InventoryPilot onboarding contact will help you identify it if it comes up.
Gotcha 2: Third-party listing platforms with their own comment fields
Some platforms—particularly certain HomeNet-powered sites—have a separate "Seller Notes" or "Special Comments" field that's distinct from the standard Inventory Comments feed field. InventoryPilot writes to the canonical Inventory Comments field in vAuto. If your website platform is pulling from a non-standard field, your site descriptions may not update even though vAuto shows the correct content. Check with your website provider which field their feed parser maps to.
Week 1 vs. Week 4: What to Expect
Week 1:
Your entire active lot gets its first InventoryPilot description within 24–48 hours of onboarding. Expect to see the Inventory Comments field populated in vAuto. Your website VDPs should reflect the new descriptions within one to two feed cycles—typically the next business morning. Review 10–15 random units in vAuto and on your live site to confirm the pipeline is clean. If you see discrepancies, flag them to your onboarding contact immediately.
Week 4:
Every unit that's been on the lot for 30 days has been refreshed three to four times with updated content. Units you've sold in the interim have stopped being updated as soon as they dropped from active inventory—no housekeeping required on your end. By this point, your internet team should notice the Inventory Comments field is always populated and current, which means zero manual description work. The downstream AI search visibility lift from consistently fresh, structured content typically starts to appear in organic VDP traffic metrics around weeks three to five.
What InventoryPilot Doesn't Replace
A few things stay manual or stay in your existing tools:
- Photo uploads — Images come from your lot photography workflow, not InventoryPilot.
- Pricing — Set in Provision. We don't touch it.
- Condition disclosures — If your compliance standards require specific verbiage in comments (branded CPO language, as-is disclosures), you can set exclusion rules during onboarding so those units are skipped or have custom content appended.
