vAuto Login and Access: Troubleshooting Guide for Dealership Teams
Can't get into vAuto? Here's the correct login path, the most common access failures, how to check whether vAuto is down, and who at your store can actually fix it.
Short answer
vAuto is accessed through Cox Automotive's dealer sign-in at vauto.com. Credentials are issued by your store's vAuto administrator, not by Cox support and not by us. If sign-in fails, the cause is almost always one of four things: wrong sign-in portal, a deactivated user, an expired password, or a browser/session issue. We are not affiliated with Cox Automotive — this guide exists because dealership staff ask us about it constantly.
Use the right portal
Cox Automotive runs several separate products with separate sign-ins. Landing on the wrong one is the most common reason a correct password "doesn't work":
- vAuto / Provision / Conquest / Stockwave / iRecon — vauto.com
- VinSolutions (CRM) — a separate VinConnect sign-in
- Dealertrack, Manheim, Autotrader / Dealer.com — each has its own portal
A single Cox "bridge" identity may span some products, but the entry point still matters.
The four common failures
1. Deactivated or never-created user
When a salesperson or manager leaves, admins deactivate users. If you inherited someone's role, you need your own account — not their credentials. Ask your store's vAuto admin (usually the used-car manager or GM) to create it.
2. Expired password
Dealer software enforces periodic resets. Use the "forgot password" flow on the sign-in page; the reset email goes to the address on the user record, which may be an old work address.
3. Browser or session problem
Stale sessions and cached credentials cause silent failures. Try a private window, clear cookies for the domain, and use a current version of Chrome or Edge. Dealership networks that block third-party cookies can break the sign-in handoff.
4. Multi-factor / new-device prompt
A new device or a new location can trigger verification. If the code goes to a phone number you no longer use, only your admin or Cox support can update it.
Is vAuto down, or is it just me?
Check in this order:
- Ask a colleague at the same store to sign in. If they're in, it's your account.
- Try a different network — phone hotspot versus dealership Wi-Fi. If hotspot works, it's your network or firewall.
- Ask in a dealer community (DealerRefresh, DrivingSales, automotive groups on LinkedIn) — outages surface there within minutes.
- Have your admin contact Cox Automotive support for confirmed status.
Who to escalate to
- Your store's vAuto administrator — user creation, reactivation, role changes, permissions. Fastest path for most problems.
- Your Cox performance manager — module access, contract-level questions.
- Cox Automotive support — confirmed outages and platform bugs.
We can't reset your vAuto password, and neither can any third-party vendor.
While you're here
If you're logging into vAuto to work inventory, the description field in each vehicle record is where your listings win or lose search visibility. See how to use Provision properly or what vAuto does and doesn't do.
